What personal data we collect
Depending on how you interact with the website, we may collect:

- details of the role you are hiring for or enquiring about
- the content of your message or enquiry
- your CV and any information you choose to include with it
- limited technical information connected to website submissions, such as user agent information for certain enquiry forms
- cookie and analytics-related information where you have given consent

- complete the contact form
- complete the employer enquiry form
- submit your CV through the Candidates page
- apply for a role through a job page
- contact us directly by email or phone
- use the website and accept optional analytics or chat tools

Lawful bases for processing
Depending on the circumstances, we rely on one or more of the following lawful bases:
- Legitimate interests for normal recruitment activity, handling enquiries, managing employer relationships, reviewing candidate information, and running the website in a secure and practical way, where those interests are not overridden by your rights and freedoms
- Steps taken at your request before entering into a contract where you ask us to help with a role application or recruitment enquiry
- Legal obligation where we need to retain or disclose information to comply with the law
- Consent where consent is required, including for optional analytics and live chat technologies
Legitimate interests is a recognised lawful basis under UK GDPR, but it must be applied fairly and transparently. ICO also says consent is required for optional cookies and similar technologies where PECR applies.
Contact form and employer enquiry data
If you complete the contact form or employer enquiry form, the details you submit are stored so that we can manage and respond to your enquiry. These submissions are also sent to us by email.
For contact enquiries, this may include your name, email address, phone number, message content, and limited technical information such as user agent data.
For employer enquiries, this may include your name, email address, company name, phone number, role information, brief details, and limited technical information such as user agent data.
CV submissions and job applications
If you submit a CV through the website, whether as a general CV submission or a job application, your CV is uploaded to a private temporary storage location so it can be delivered securely. It is not placed into a searchable candidate database through the website.
When a CV is submitted:
- we receive the submission by email
- the internal notification email contains a signed download link to the CV
- the signed link is short-lived
- the temporary CV file is deleted automatically after 7 days
- no candidate portal or candidate account is created through the site
- no CV management area is shown in the public or admin-facing site
Who we share personal data with
We may share personal data with:
- employer clients or prospective employer clients where relevant to recruitment activity
- service providers who support website hosting, database services, authentication, file storage, email sending, analytics or live chat
- professional advisers where reasonably necessary
- regulators, law enforcement bodies or other authorities where required by law or where necessary to protect legal rights
We do not sell your personal data.
ICO says privacy information should explain who personal data is shared with and that sharing must have a lawful basis.
International transfers
Some of the services used to operate the website, send emails, provide analytics, or provide live chat may involve processing personal data outside the UK.
Where a restricted transfer of personal data takes place, UK GDPR rules on international transfers apply. If international transfers are involved, appropriate safeguards should be used where required under data protection law.
How long we keep personal data
We keep personal data only for as long as reasonably necessary for the purposes for which it was collected, including to deal with enquiries, manage recruitment activity, keep appropriate business records, and meet legal, regulatory, tax or insurance requirements.
In particular:
- temporary CV files used for secure website delivery are deleted after 7 days
- contact and employer enquiry records are kept only for as long as reasonably necessary to manage the enquiry, any ongoing relationship, and appropriate business records
- email logs, suppression records and unsubscribe records may be retained where needed to operate email communications responsibly and maintain system integrity
Where we do not apply a fixed retention period, we use the purpose of the data, the sensitivity of the data, and any legal or operational need to decide how long it should be kept. ICO says that if you do not have a specific retention period, you should explain the criteria you use instead.
Cookies, analytics and live chat
The website uses strictly necessary technologies to support core functions, including storing your cookie preferences. If you are an admin user, browser storage may also be used to maintain your authenticated session.
Optional technologies, such as Google Analytics 4 and Tawk.to live chat, are only loaded if you give the relevant consent through the website’s cookie controls. You can update your preferences at any time through the cookie preferences option in the footer.
PECR applies to cookies and similar technologies, and optional analytics-style technologies generally require consent.
Security and access controls
The site uses access controls and technical measures designed to limit access to stored data. These include private storage for temporary CV files, signed URLs for CV download, role-based admin access, and row-level access controls for stored submission data.
Automated decision-making
The website does not use automated decision-making or profiling to make decisions about candidates or employers through the current build.
